How to write a fundraising letter - Writing Tips

Most large companies have a certain amount of money set aside for local charities and fundraisers. This provides them with good P.R. in the community and helps local groups succeed. So, sometimes, all you really have to do is ask. Here are some tips for getting a 'Yes, we would be happy to donate to your fundraiser!'

The first step is to be sure you write a nice, clear, concise letter stating your needs and the benefits that their contribution will make to your organization and the community. Treat fundraising letters as a business letter.

Know who to ask. If this first year, keep detailed lists of who you asked and what the response was. Make a note of names and dates. If this is not the first year, refer to past notes. Sometimes you just need to adjust the time of year you ask, or some other very simple thing. Listens to the answers, write them down, and follow what they tell you.

Get to the point quickly. These are busy people. Tell them what you want and how it will help your cause. The rest is fluff and you may lose them if you are too chatty up front. Start and end your letter with your stated needs. Put the fluff in the middle.

Know your stuff. They may have some questions. Be sure you know as much as possible about the program.

If you are writing to donors from previous fundraisers, be sure to thank them first for previous donations before you ask for more money. "Thanks for your generous contribution to our program last year. We hope you can help our fundraiser again this year." There are lots of reasons for this. Be sure you keep track of past donors and always acknowledge them.

Don't over-sell yourself or your cause. It is a good cause and will sell itself.

Be sure to ask for the money. This sounds simple enough, but sometimes fundraisers tell all about the program, but never tell the possible donor exactly what they want - money!

Tell them how much you need and why. Our group needs 100 widgets at $50.00 each. We need to raise $5000.

If there is a deadline for your need, tell them. If we don't get enough money to buy the widgets by January 1, we won't be able to get them for this year. These widgets will allow us to.......

Include a self addressed envelop with donation instructions - Send your check today in the enclosed envelop.....

Feel free to add a P.S. Often times busy readers read only the beginning and end. Make it good.

Follow up with a phone call if you do not here back within 10 - 14 days.

Be cheerful and optimistic in all your dealings. It willrub off on others and make them feel good about donating to your cause.
